Executive Assistant

The Executive Assistant is responsible for providing comprehensive support to the Executive Team and managing Hellebore's operations, including working remotely with the team. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality.

To be effective, you will complete a wide variety of administrative tasks that facilitate the leadership's ability to lead the organization effectively. These tasks include assisting with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; maintaining contact lists; making travel arrangements; and completing expense reports. You will work closely with the CEO and COO to keep them well informed of upcoming commitments and responsibilities, following up appropriately. You will expand your own knowledge to act as a "barometer," having a sense for the issues taking place in the environment and keeping the executives updated. You will anticipate CEO and COO's needs in advance of meetings, conferences, etc.

  • Managing information flow, dealing with basic financial management, attending meetings.
  • Coordinating activities throughout the company to ensure efficiency and maintain compliance with company policy
  • Create and update databases and records for financial information, personnel, and other data
  • Support technical proposal and presentation efforts as needed
  • Onboard new staff to the company
  • Maintaining corporate SharePoint sites
  • Manage agendas, travel plans, and appointments for upper management
  • Scheduling meetings/events and sending meeting invites to attendees
  • Taking minutes during meetings
  • Managing executives' calendars and set up meetings
  • Making appropriate, informed decisions regarding priorities and available time


  • U.S. Citizen
  • Can commute (when necessary) to Beavercreek, Ohio
  • Work experience as an Executive Assistant, Personal Assistant or similar role
  • Professional discretion and confidentiality
  • Expert proficiency with Microsoft Office and desktop publishing software; ability to design and edit graphic presentations and materials
  • Outstanding organizational and time management skills
  • Excellent verbal and written communications skills
  • High School degree
  • PA diploma or certification is a plus
